HR Coordinator

The Role

The HR Coordinator is the operational backbone of our HR team. You are the person who makes sure nothing falls through the cracks, candidates have a seamless experience, and new hires feel genuinely welcomed from the moment they sign through their first weeks on the job. You bring the kind of energy and care that shapes how people feel about the company.

 

You will work closely with HR and the leadership team to keep recruiting, onboarding, culture programming, and HR administration running like clockwork. You are organized, proactive, and the kind of person who finds real meaning in creating exceptional experiences for the people around them.

What You Will Do

Candidate Scheduling & Recruiting Logistics

  • Own all candidate scheduling and interview logistics end-to-end: coordinate across hiring managers, candidates, and interviewers with speed and precision
  • Manage all candidate communications throughout the recruiting process, ensuring every person has a clear, professional, and timely experience
  • Partner with the Senior Talent Partner to keep the recruiting pipeline moving and provide administrative support across active searches
  • Maintain accurate recruiting records and update the ATS so the team always has a current view of where things stand
  • Coordinate and post open roles to job boards and the careers page; keep listings current and remove them promptly when positions are filled
  • Initiate and track background checks and pre-employment screening for candidates in final stages, following up to ensure timely completion
 

Onboarding & New Hire Integration

  • Own pre-start date logistics for every new hire: answer questions, schedule onboarding meetings, and make sure they feel prepared and excited
  • Partner with hiring managers to build a structured first-day schedule for each new hire so they arrive to an organized, intentional experience
  • Coordinate new hire check-ins for every new hire to ensure they feel settled, supported, and clear on next steps
  • Support technical onboarding in collaboration with IT to ensure new hires have system access, complete required setups, and know how to navigate the tools they need to do their job
  • Coordinate product onboarding for all new hires: ensure every employee creates a Seeking profile and develops a working understanding of the platform they are here to support
  • Collect and verify I-9 employment eligibility documentation for all new hires and maintain compliance records in accordance with legal requirements
  • Collect and file training completion certificates as employees progress through their track, maintaining accurate completion records

Swag & Welcome Experience

  • Own the Seeking onboarding swag program end-to-end: source, curate, and manage tiered welcome packages by employee level (individual contributor through director)
  • Continuously research and evaluate new branded items that align with Seeking's culture and brand standards, keeping the swag offering fresh, elevated, and on-brand
  • Manage vendor relationships, inventory, and ordering cycles so packages are always ready to go when a new hire is confirmed
  • Handle all swag assembly, personalization, and shipping logistics, coordinating timely delivery before or on each new hire's start date
  • Track swag spend and inventory, and surface recommendations when it is time to refresh or upgrade the offering

Employee Experience, Events & Culture

  • Partner with the team on culture events, team activations, and employee appreciation moments that make Seeking a place people are proud to be
  • Support the planning and logistics of HR team events from concept through execution: scheduling, vendor coordination, materials, and on-site or virtual setup
  • Contribute ideas and energy to culture programming, bringing a genuine enthusiasm for creating experiences that connect people to the brand and to each other
  • Coordinate the logistics for training programs and learning events: scheduling, communications, materials, and attendance tracking
  • Partner with the Training & Development Partner on the administrative side of training initiatives, keeping programs organized and on schedule
  • Partner with the Senior Talent Partner on college recruiting initiatives

HR Administration & Operations

  • Maintain accurate employee files and records in compliance with company standards and applicable requirements
  • Process HRIS updates including new hires, terminations, role changes, and other employee data changes in a timely and accurate manner
  • Support policy administration and ensure employees have access to current HR documentation and resources
  • Assist with offboarding logistics and ensure departing employees have a complete and organized exit process
  • Provide employee communications support, helping draft and distribute internal HR-related messages as needed

Benefits Administration

  • Serve as a first point of contact for employee benefits questions, directing employees to the right resources and following up to make sure they have what they need
  • Support benefits enrollment processes, including new hire enrollment and open enrollment periods, coordinating with providers and ensuring employees meet deadlines
  • Maintain accurate benefits records and flag any discrepancies or updates that require HR or provider action

What Success Looks Like

Interviews are scheduled quickly and candidates always know what to expect. New hires arrive on day one to a structured schedule, a branded welcome package, and a team that clearly prepared for them. The HR team is not chasing down administrative details because you have already handled them. Employees feel the culture the moment they walk in the door, and you had everything to do with that. HR records are accurate, events run smoothly, and leadership trusts that coordination and logistics are in good hands.

What We're Looking For

Experience & Education

  • 2+ years of experience in an HR coordinator, recruiting coordinator, or people operations role
  • Hands-on experience with HRIS platforms, ATS tools, and scheduling software
  • Experience supporting both HR operations and talent acquisition functions
  • Bachelor's degree in Human Resources, Business Administration, Psychology, Communications, or a related field
